Jobs held for resources

We have recently replaced one Xerox printer with a larger model - a Xerox 5845.  We use these printers to print our purchase orders from our SAP system.  In SAP, the form for the PO is configured to send the output to TRAY2.

 

When the Xerox 5845 replaced the smaller printer that was being used, the larger 5845 has a different tray configuration. Instead of Tray  number 2 having 8.5 x 11 paper, Tray 2 now has 8.5 x 14 and Trays 3 and 4 have 8.5 x 11 paper in them.

 

Now what is happening is that SAP is still sending the output to TRAY2; however, the jobs are getting hung up in the printer with a status of "Held - Resources not available"

 

The trays are configured as follows:

Tray 1 - 11 x 17, priority 40, fully adjustable tray, auto selection enabled.

Tray 2 - 8.5 x 14, priority 50, fully adjustable tray, auto selection enabled.

Tray 3 - 8.5 x 11, priority 30, dedicated tray type, auto selection enabled.

Tray 4 - 8.5 x 11, priority 20, dedicated tray type, auto selection enabled.

 

Since the output from SAP was normally printed on 8.5 x 11 paper on the old printer, the thought was that even though the print control was set to send the output to Tray 2, the printer would recognize that Tray 3 or Tray 4 had the proper paper size and redirect the output there.  Instead, it looks like it is getting held up in an internal queue for waiting for 8.5 x 11 paper to be inserted into Tray 2.

 

Is there any configuration that can be made on the printer to have it select a tray with the proper paper size (8.5 x 11), or do we need to make a change in SAP to have it select a different paper tray.  The problem with that is that the paper tray is defined at the form level, so that PO's using that form would all now go to Tray three on printers rather than Tray 2.  This could impact other printers already in use that print PO's.  If the tray selection was at the print device level in SAP, then it would be a no brainer as the change could be made for just this one printer. Unfortunately, we are not that lucky.

 

So we need to know if there is any way to have the printer automatically direct it to the tray with the proper paper.
